Overdue Task Reminders with Power Automate

How to use Power Automate to send reminders to users — based on scheduled time

WHAT IS POWER AUTOMATE?

Power Automate is a service that is part of the Microsoft Power platform and helps automating processes between apps and services. Connectors are available for SharePoint, One Drive, Email, SalesForce, and a lot of other apps that are used by users to get their workdone.

How to use Power Automate to create a scheduled flow to send reminders to users on overdue tasks

Task Information such as Description, Status, Due Date, and Assignee are stored in a SharePoint list.

POWER AUTOMATE DEVELOPMENT PROCESS:

➔ Open the Power Automate environment in your browser using the link below https://us.flow.microsoft.com/en-us/

➔ Select Scheduled cloud flow from the flow templates.

➔ In the flow creation form provide below details.

• A meaningful name for the flow
• Date and time from which the scheduled flow should start.
• Frequency in which the flow should run.

➔ Flow implementation

• Click New Step(+) button and choose Get Items from the SharePoint action
• For the action provide details of the Site Address of the SharePoint site containing the task list, Task list name, and specify the Filter Query to filter tasks whose due date is less than current date.

➔ To send the email notification, click New Step (+) button, search for email and choose the Send an email action version 2 template.

➔ Provide the below details for send email action.

• A meaningful subject
• Content for the task notification email body.
• Set assignee field from the SharePoint list as the — value for — To field.

➔ After all the steps are completed click on the Save button to save the flow.

➔. The flow will get executed as per the specified frequency and users will get notification for overdue tasks.
